Cheltenham and Cotswold Advanced Motorcyclists (CCAM) Group Privacy Notice

Who we are

Cheltenham and Cotswold Advanced Motorcyclists (CCAM) group is an independent UK road safety charitable group affiliated to IAM RoadSmart (IAM), as part of their support for Associate Members preparing for the advanced test. We help to improve rider skills through coaching and education.

CCAM is run by volunteers, and represents a resource with unparalleled experience and expertise. We also provide a social focus meeting and enjoying the company of fellow motorcycling enthusiasts.

CCAM acts as the data controller/data processor when collecting and processing your data.

This Privacy Notice covers CCAM in relation to the collection and use of the information you give us. We may change this policy from time to time. If we make significant changes we will advertise this on our website or contact you directly with the information. Please check this page occasionally to make sure that you are happy with any changes.

Our basis for processing your personal information and what we use it for

CCAM aims to be very clear when we collect your personal data and will not do anything you wouldn’t reasonably expect in order to provide you with the products and/or services that you request, to communicate with you, and to personalise our information we send to you.

Consent

In specific situations we can collect and process your data with your explicit consent. Examples of this include when you express an interest in joining the group, are joining via an IAM Advanced Rider Course or have provided details at an event and consented via a tick box or hard copy form.

Contractual Processing

There are certain communications which need to be sent to you in order to inform you of services which the group provides, or to facilitate observed rides.

Legal Compliance

If the law requires us to, we may need to collect and process your data. For example, we can pass on details of people involved in fraud or other criminal activity affecting CCAM to law enforcement.

Legitimate Interest

In specific situations, we require your data to pursue our legitimate interests in a way which might reasonably be expected as part of running the group and which does not materially impact your rights, freedom or interests.

We will keep members updated on issues of importance in the advanced motorcycling community.

We may contact you regarding membership and associated benefits along with any products or services provided by CCAM that may be of interest to you.

How do we use your information?

We will use your information to:

· Arrange and manage your Advanced Rider Course (our obligation arising from your purchase via IAM RoadSmart)

· Manage your membership of the group.

· Advise you of group activities or events.

Pictures, videos and written updates of CCAM events and activities at which you may be in attendance, or referred to by name, may also be regularly published on social media sites, in group newsletters/magazines and on group related websites. Please advise us if you do not wish to be included in these items.

What type of information we collect and how we use your information

We will use your personal information in a number of ways which reflect the legal basis applying to processing your data. To enable us to contact you in relation to an enquiry you have made, Group events and to manage your membership.

The personal data that we collect from is:

· Name

· Address

· Email address

· Phone number(s)

· IAM membership number and status (full, associate or fellow)

· Observer status (where relevant)

Special category data – none

We collect information in the below ways:

· Group membership applications (forms or emails)

· IAM ARC course applications

· Telephone and email enquiries

· Forms completed at shows where future contact is agreed to.

· Social media engagement

To enable us to contact you in relation to an enquiry you have made, relevant products or services, Group meetings and events you may be interested in.

We do not collect bank, credit or debit card details.

We may ask for additional information from you in order to deliver the specific product or service purchased.

As required by the General Data Protection Regulation, we follow strict security procedures in the storage and disclosure of the information you have provided to us. You have the right to object to this processing. Please bear in mind that if you object this may affect our ability to deliver the products and services you have requested.
